Privacy policy

Effective October 10, 2026

The short version: your recordings, transcripts and summaries are kept on your phone. When you ask for a transcript, the audio is sent over HTTPS to our server and Google’s Gemini API, transcribed, and then deleted. We don’t keep your transcripts or summaries, we don’t use your recordings to train AI models, and the app has no accounts, ads or third-party analytics.

Who we are

Note Taker (“the app”, Android package com.masterai.notetaker) is an AI voice recorder published by EthanApp (“we”, “us”). This policy explains what information the app handles, why, and what happens to it. If you have a question about it, email us at ethanhdt@gmail.com.

What stays on your phone

The app saves these in its private storage on your phone:

  • your recordings and any audio files you import,
  • the transcripts and summaries made from them, and any titles you give them, and
  • your settings, such as the recording language, summary language and mode.

There is no sign-in, so the app doesn’t ask for your name, email address or phone number. Your library is not uploaded to us or synced to any cloud service by the app.

What we process to make transcripts and summaries

Transcripts and summaries are created on our server, which uses Google’s Gemini API. When you ask the app to transcribe or summarize a recording, it sends:

  • Audio you choose to transcribe. Long recordings are sent in parts of about ten minutes. Only the recordings you transcribe are sent.
  • Transcript text, when you ask for a summary (for example, a new summary in another language or mode), together with the recording’s title if you typed one.
  • The options you chose: the spoken language (or automatic detection), the summary language and the mode.
  • A random device ID. The app creates a random identifier the first time it starts. We use it only to count the free transcription minutes each device uses per month. It isn’t linked to your name, email, phone number, Google account or advertising ID.
  • The app version, so we can keep the server compatible with older versions and investigate errors.

Like any internet service, our hosting provider necessarily receives your device’s IP address when the app connects to our server. We don’t use it to identify you or to build a profile of you.

Why we process it

  • To provide the feature you asked for: turning your audio into a transcript and a summary (performance of our agreement with you).
  • To run the free monthly allowance fairly and to protect the service from abuse and overload (our legitimate interest in keeping the service available).
  • To keep the service working, using technical records such as file sizes, durations, error codes and timings (our legitimate interest). These records never contain your audio, transcripts or summaries.

We don’t use your information for advertising, and we don’t use your recordings, transcripts or summaries to train AI models.

Who processes it for us

We use two service providers. They process data on our behalf, only to run the transcription and summary features:

  • Amazon Web Services, Inc. (AWS) runs our server (the app’s API, in the United States), briefly holds uploaded audio until it is transcribed, and stores the monthly usage counter for each random device ID. See the AWS privacy notice.
  • Google LLC provides the Gemini API that transcribes the audio and writes the summaries. We use Google’s paid API service, under which Google does not use your content to improve its products or train its models. See the Gemini API terms and Google’s privacy policy.

How long we keep it

  • Audio is deleted from our server and from Google as soon as it has been transcribed. As extra safeguards, audio that was uploaded but never transcribed is deleted automatically after one day, and Google’s file storage for the Gemini API deletes uploaded files within 48 hours at most.
  • Transcripts and summaries are returned to your phone and are not kept on our server.
  • Usage counters (the random device ID and the minutes used each month) are kept only to run the monthly allowance, and are deleted automatically about two months later.
  • Data on your phone stays until you delete it: delete recordings in the app, clear the app’s storage in Android settings, or uninstall the app.

Under its API terms, Google may keep limited logs for a short period solely to detect abuse and meet legal obligations.

If you have turned on Android’s device backup, Android may include the app’s data in your phone’s backup to your Google account. That backup is provided by Google under your account settings, not by us.

What we don’t do

  • We don’t show ads.
  • We don’t sell, rent or trade your information, and we don’t share it with anyone except the service providers above.
  • We don’t use third-party analytics or advertising trackers.
  • We don’t train AI models on your content.

Sharing you choose

When you share or copy a transcript or summary, or share an audio file, Android’s share sheet sends it to the app or person you pick. From then on it is handled by that app or service under its own privacy policy.

Permissions

  • Microphone — to record when you start a recording. Android shows a notification while recording continues in the background, so you always know the microphone is in use.
  • Files — when you import audio, Android’s file picker lets you choose a file, and the app can read only the file you picked.
  • Internet — to send audio and transcripts to our server for transcription and summaries.

International transfers

Our server runs on AWS in the United States, and Google runs its services on servers in many countries, so your audio and transcripts may be processed outside the country where you live. Both providers protect data they process for us with contractual safeguards, such as the European Commission’s Standard Contractual Clauses where required.

Your rights and choices

Everything the app stores is on your phone and under your control: you can view, share and delete your recordings, transcripts and summaries at any time. Because we don’t keep your audio, transcripts or summaries, and don’t know who you are, there is normally nothing on our side to access or delete.

Depending on where you live, you may have rights to access, correct, delete or object to the processing of your personal data, and to complain to your local data protection authority. To make a request or ask a question, email ethanhdt@gmail.com. We’ll reply within 30 days.

Recording other people

You are responsible for recording lawfully. Many countries and states require the consent of everyone being recorded. Tell people before you record them and follow the law where you are; the app reminds you of this. See our terms of use.

Children

The app is not directed at children under 13, and we don’t knowingly collect personal information from them. If you believe a child has sent us personal information, contact us and we will delete it.

Security

All traffic between the app and our server, and between our server and Google, is encrypted with HTTPS. Data on your phone is protected by Android’s app sandbox, which stops other apps from reading the app’s private storage. Anyone who can unlock your phone can open the app, so use a screen lock. No method of transmission or storage is perfectly secure, but we keep the data we handle to a minimum.

Changes to this policy

If we change this policy, we’ll update this page and the effective date above. If a future version of the app handles data in a new way, we’ll describe it here before that version is released.
